Terms of service

White Label Program – Terms & Conditions

Welcome to Build Your Hair Brand. By joining, you agree to the following terms, which outline our mutual responsibilities, refund policy, packaging guidelines, and production expectations.

1. Program Overview

The service allows approved clients to sell our premium hair extensions under their own branding. This includes access to our stocked hair range with no minimum order requirement, and branded packaging options.

2. Setup Fee & Branding

A one-time setup fee is required for all new clients. This covers:

  • Custom packaging setup (e.g. sleeves, tags, cards)
  • Creation of your personalised colour ring with your custom colour names
  • Access to our exclusive trade pricing
  • Design services include up to 2 free revisions; additional revisions will incur a fee
  • The setup fee is non-refundable

Branded packaging is produced in batches of 500 units. Once the initial 500 units are used, additional packaging must be purchased separately.

Please note, larger items such as Clip In's will require additional sized packaging (not included in the set up fee)

All branding materials (logos, hex codes, colour names) must be submitted within the required timeframe to avoid set up delays.

3. Fulfilment & Shipping

Orders are shipped in plain packaging if hair is ordered before set up completion. Once complete, all orders will be shipped in your custom branded packaging. Packaging is safely stored in our temperature-controlled warehouse with 24/7 security, and used to fulfil your orders as they come in.

4. Turnaround Time

Full branding setup is typically completed within 30 days, depending on how quickly you provide your materials and approve the designs.
Stocked hair orders are dispatched within 1 business day.
Custom orders have an extended lead time of 2 to 3 weeks.

5. Refunds, Exchanges & Final Sale

All custom orders are final sale

Manufacturing Defects

Our refund policy is aligned with our manufacturers’ standards, which means claims are strictly limited to verified manufacturing defects within 30 days only. Once the hair has been installed or used, outcomes are influenced by factors outside of production, including installation and aftercare. We only accept claims for verified manufacturing defects, which are strictly limited to the following:

  • Excessive shedding
  • Severe matting

These defects must:

  • Must be reported within 30 days of installation and no later than 50 days from the original purchase date, regardless of when installation takes place
  • Be supported by clear photographic and/or video evidence
  • Be assessed and approved by our team before any resolution is offered

If a manufacturing defect is confirmed, we may offer a replacement or store credit at our discretion.

What is not considered a defect:

The following are not considered manufacturing defects and are not eligible for refunds, replacements, or credits:

  • Normal or minimal shedding
  • Tangling caused by improper installation, maintenance, or aftercare
  • Dryness due to chemical processing, colouring, or heat styling
  • Damage caused by bleach, toner, colour, keratin treatments, or chemical services
  • Improper cutting, blending, or installation techniques
  • Use of non-recommended products or tools
  • Wear and tear over time
  • Issues arising after the hair has been altered, coloured, or chemically treated

Once hair has been installed, cut, coloured, toned, or chemically altered in any way, it is considered used and accepted.

Shipping Responsibility

  • All shipping costs related to defect claims are the responsibility of the client, including return shipping and any reshipment costs
  • We do not cover shipping, duties, customs fees, or courier charges under any circumstances
  • Returned items must be sent using a tracked and insured service

Client Responsibility

Clients are responsible for:

  • Submitting accurate branding files and colour names
  • Reviewing and approving proofs in a timely manner
  • Providing correct and up-to-date shipping information

We are not liable for:

  • Packaging or colour variations due to screen/device display
  • Delays caused by late responses or missing information
  • Shipping delays caused by courier services.

7. Confidentiality

All custom branding is confidential and exclusive to the client. We will never share your brand details with other clients.

This is not a holiday package and should be treated as an educational and business experience.

2. Eligibility & Participation

Only registered, fully paid participants may attend any part of the programme, including but not limited to:

  • Accommodation
  • Transport
  • Factory visits
  • Workshops
  • Meals
  • Cultural activities

Non-participants, partners, friends, or family members are not permitted to attend or join any aspect of the programme unless booked as a full-paying participant. This is to maintain fairness and program confidentiality.

3. Accommodation

Accommodation provided as part of the programme is reserved exclusively for registered participants.

Shared accommodation is available only for couples travelling together and must be selected at the time of booking. No other shared arrangements are permitted.

Exact accommodation details will be shared with registered participants upon arrival.

4. Flights & Travel

International flights and visas are not included. Participants are responsible for arranging their own flights and travel documentation.

Participants must arrive the evening prior to the programme start date, ready to begin on Day 1.

Pre-trip video calls will be arranged in advance to support travel planning, answer questions, and provide cultural and preparation guidance.

5. Payment Terms

A non-refundable deposit is required to secure a place on the trip.

Remaining payments must be made in accordance with the payment schedule provided at booking. Failure to meet payment deadlines may result in:

  • Release of the participant’s place
  • Forfeiture of all payments made

This policy ensures fairness to waitlisted applicants and allows the programme to proceed as planned.

6. Minimum Group Requirement

The trip is subject to a minimum number of confirmed participants.

If the minimum number is not met, the trip may be rescheduled or cancelled. In such cases, payments will be refunded in accordance with these terms.

7. Itinerary & Location Disclosure

To protect supplier relationships and proprietary information:

  • The full detailed itinerary
  • Exact locations
  • Factory names and addresses

will be disclosed upon arrival.

8. Photography & Confidentiality

Due to the nature of manufacturing environments and supplier confidentiality:

  • Personal photography and video recording are not permitted inside factories
  • Approved photos may be taken on behalf of the group and shared with participants after the trip

Participants may be required to acknowledge confidentiality expectations to protect supplier relationships and proprietary access.

9. Programme Changes

The organiser reserves the right to make reasonable changes to the itinerary, schedule, or programme content where necessary due to operational, logistical, or supplier-related considerations.

Such changes do not constitute grounds for refund.

10. Conduct

Participants are expected to conduct themselves professionally and respectfully at all times.

The organiser reserves the right to remove any participant whose behaviour is disruptive, inappropriate, or risks supplier relationships. In such cases, no refunds will be issued.

11. Illness, Absence & Missed Programme Time

Illness & Absence

In the event that a participant is unable to attend or complete any part of a programme, experience, or trip due to illness, injury, or personal circumstances (including during the programme dates), no refunds, credits, or partial reimbursements will be issued.

Participants are responsible for obtaining appropriate travel and medical insurance to cover illness, interruption, or cancellation.

12. Acceptance of Terms

By booking and paying a deposit, participants confirm that they have read, understood, and agreed to these Terms & Conditions in full.
